Coordinator for 13th International Permaculture Convergence - India

Role: IPC Coordinator (International Permaculture Conference & Convergence)

The IPC Coordinator will lead and coordinate the planning, implementation, and tracking of specified deliverables vis-a-vis the team engaged in organizing the event - International Permaculture Conference and Convergence.

Academic qualifications and experience:

  • Post-graduate degree in Social Sciences, Natural Sciences or Management
  • At least three years of experience in relevant field, for e.g. ecological farming, sustainable alternatives, management of non-profits or social projects
  • Past experience in organizing conferences or events will be strongly preferred
  • Completion of Permaculture Design Course is preferred, but not compulsory

Knowledge, Skills and Abilities Required:

  • Knowledge about the ecological farming sector, effective practices and practitioners in this sector and strong commitment towards ecological conservation and social justice
  • Excellent skills in planning, co-ordination and management of a diverse team
  • Creativity in planning and organizing events and learning spaces
  • Ability to design and implement processes ensuring optimum social and environmental impact
  • Strong interpersonal and communication skills to work effectively with a wide range of stakeholders
  • Ability to supervise and train assigned staff and volunteers including organizing, prioritizing, scheduling work assignments, and resolving problems
  • Ability to take self-initiative, to be organized, to ensure that tasks are completed in a timely and resource-efficient manner
  • Information research, Database management and other computer skills
  • Excellence in content writing, reviewing and editing
  • Prior experience in working with international community will be an added advantage

Duties:

  • Leading development of the Event Design in consultation with the IPC Organizing Group
  • Planning the work schedule for the event and coordinating the tasks of various personnel, volunteers, vendors and service providers
  • Establishing effective, robust and user-friendly systems and processes for smooth day-to-day functioning of the entire team
  • Ensuring compliance with all important national and local laws and rules related to International Conferences
  • Developing tools and techniques to ensure that all activities during and leading up to the event, align with the ethics of permaculture, for e.g. devising suitable mechanisms for waste reduction and management, maximizing ecological and social benefit and minimizing ecological footprint of the event.
  • Ensuring systems for proper flow of information amongst management, staff, international advisory groups, volunteers, resource persons, participants and service providers.
  • Facilitating meetings amongst the team and various committees and groups for the event
  • Liaison with important stakeholders like government authorities, resource persons and speakers for the event, media persons and major donors and supporters
  • Enabling effective public interface for the event through website, social media and other means
  • Guiding and assisting in communications, promotions, fund raising, HR, administration, finances and volunteer management
  • Creating and leading the various working groups for actual implementation of the event
  • Budget preparation, tracking and resource management
  • Preparing appropriate reports where required

15 months
